Changes to IMOS Referrals in NWL

The North West London ICB Integrated Pathways Team has asked us to share the message below about changes to the referral system into IMOS services hosted in North West London.

Dear Colleagues,

We are writing to update you on important upcoming changes to the referral process for dental practices (IMOS services) hosted by LNWH. Rego will be phased out and replaced with a new portal hosted on the Federated Data Platform (FDP). While we are not yet able to confirm the go‑live date, we want to ensure you have the information and time needed to prepare.

1. Continue Using Rego Until Further Notice

Although you may have become aware of changes via recent primary care communications, please continue to use Rego as normal for submitting referrals until we confirm a formal switchover date.
The LNWH Trust will ensure the safe migration of all the active referrals when the transition is made from Rego to FDP Demand centre.

2. You Will Need an NHS Email Address to Use the New Portal

To access the new dental referral portal, dental practices will require an NHS email address (NHS.net).

Many practices already have NHS mail accounts; however, we are aware that a number still rely on external email systems (e.g., Gmail).
Please begin the NHS mail registration process now so that you are ready ahead of the transition.

To minimise disruption, we strongly encourage practices to start this process as soon as possible.

3. Temporary Support for Practices Awaiting NHS Mail

If any practice is unable to obtain an NHS email in time despite having submitted evidence of an application, the programme team will support temporary access arrangements.

This will only be provided where a practice demonstrates it has initiated the proper NHS mail registration process.

This ensures referrals can still be submitted via the new portal from day one.

Further instructions on how to request temporary access will be included in our next communication.

If a practice has not yet received its NHS mail account at the point of go‑live the programme team will provide a short transitional window during which referrals can be emailed and manually uploaded into the portal. More detailed guidance will follow once we confirm timelines.

4. The New Portal

The new portal will:

  • Allow dental practices to submit referrals including attachments.
  • Allow practices to view triage outcomes for referrals they submitted.
  • The portal will NOT be used for clinical documentation (e.g., clinic notes, treatment summaries, procedure descriptions).

You will receive a follow‑up communication that includes the confirmed go‑live date.

In the meantime, beginning NHS mail registration is the most important immediate action.
